The function of the Assistant position is to provide administrative support for the Senior Vice President of Entertainment Public Relations and to also assist with various publicity projects as assigned and provide occasional support for the West & East Coast Entertainment Publicity teams, Special Events department and Awards Team.
Administrative duties in support of Senior Vice President of Entertainment Public Relations including: answering phones, rolling calls, managing high volume calendar, coordinating travel arrangements, deliveries, photocopying, routing and filing invoices, completing and submitting monthly travel and expense reports, and facilitating the flow of confidential and timely information throughout the department and company. Help route publicity materials through the approval process.
Assist at screenings, TCA or special events as directed.
Screen and route calls for the Senior Vice President. Field general press calls and route to the appropriate party. Know when to notify supervisors of issues or whom to approach for necessary information. Requires good judgement, and ability to prioritize and be resourceful.
Field and fulfill all press requests for materials, including DVDs, video clips, photos and press kits. Send requested materials in an organized and timely fashion to accommodate press deadlines. Ensuring an ample supply is on hand and up-to-date.
Review all daily and weekly trade magazines, local newspapers and consumer press for Showtime and/or cable industry articles. Scan internet and social media sites for Showtime references. Responsible for distributing trade and consumer stories for senior members of management.
On board new employees in the Entertainment Public Relations department, including setting up email, phone, parking, ordering of supplies.
Knowledge, Skills & Abilities:
Excellent verbal and written communication skills

Computer savvy - knowledge of Word, Excel, Outlook, PowerPoint and basic database skills

Education and Experience:
Bachelor's degree preferred with concentration in Communications, Media or other related field a plus.
Minimum 2-3 years of previous Executive Assistant experience.
Previous experience in media not needed but a plus.
