Job Description:

Coordinates the day-to-day operations of the department under the direction of the Virtual Production Department Supervisor & Director of Studio Technology. Acts as a primary department contact for all stage services and insures a high level of client service and a timely response to all requests.

Principal Duties and Responsibilities:

  • Works closely with Production and other departments to evaluate virtual production needs for all shows and proactively coordinates available resources to ensure timely and efficient completion of projects.

  • Responsible for the coordination of all digital camera packages. Responsible for checking these items out to production, tracking the equipment, sending out for maintenance, ordering parts, etc.

  • Consult with the virtual production supervisor and productions to organize consolidate, standardize, and refresh all set and stage equipment.

  • Maintains an asset-tracking system and oversee vaulting physical capture equipment (cameras, hard drives, calibration objects)

  • Responsible for scheduling the stage for internal production and external clients . Keeps the stage crew and clients up to date as schedules change.

  • Creates and publishes shoot schedule/call sheets.

  • Assists the Stage crew in prioritizing work as needed.

  • Maintains high client service levels and integrity of department. Maintains daily and weekly communication with production and throughout the company.

  • Sets up, attends and publishes notes on show virtual production kickoff meetings for our department.

  • Coordinates high visibility client demos and special presentations..

  • Participates in the development and maintenance of all department webpages and online request forms.

  • With limited supervision, works closely with CG, Production, and other service groups to increase efficiency across departments whenever possible. Contribute input and make recommendations to refine our processes and procedures.

  • Responsible for the coordination of all digital camera packages. Responsible for checking these items out to production, tracking the equipment, sending out for maintenance, ordering parts, etc.

  • Responsible for coordination of all location laptops.

  • Responsible for reviewing invoices, and other paperwork for accuracy prior to manager approval. Resolve errors with accounting when necessary.

  • Responsible for all ordering of production and administrative supplies based on requests from area leads.

  • Maintains a vendor contact list, price lists, and purchase requisition database.

  • Performs special projects under the supervision of the Virtual Production supervision team.


  • Bachelor's degree in Film/related field or equivalent work experience required plus 3-5 years of related experience, preferably in visual effects or live action production.

  • Demonstrated ability to effectively schedule projects and/or resources required.

  • Advanced knowledge and understanding of film production and post-production techniques and terminology required.

  • Must have strong client service and communication skills.

  • Must be detail and solution oriented.

  • Strong organizational skills to deal with disparate physical and digital datasets.

  • Ability to work independently and with a team.

  • Must have the ability to juggle multiple projects, work with diverse personalities and work within strict deadlines.

  • Proven ability to provide innovative troubleshooting in a fast paced environment.

  • Demonstrated ability to handle confidential and sensitive information in a discreet, diplomatic, and professional manner.

  • Knowledge of Filemaker Pro preferred.

  • Proficient with Microsoft Word,Excel, Outlook.
