Job Description:

POSITION PURPOSE:

This position is responsible for the day-to-day affairs of the box office and supervises all ticket selling and cash management functions in coordination with the promoter and building personnel.

ESSENTIAL FUNCTIONS:

• Builds seating configurations for each event on the computer ticket system in coordination with the Promoter, Director Event Opeartions and General Manager.
• Maintains a positive rapport with promoters providing assistance and information promptly and accurately upon request.
• Communicates with outlets and computer ticket company regularly and keeps them properly Informed about events and computer operations.
• Accounts for ticket sales for each event in the event ledger and provides accounting with reconciled daily activity reports.
• Maintains files on each event that consists of production skills, seats on-hold for the building and promoter, complimentary ticket vouchers, event audits and ticket inventory schedules.
• Hires and supervises all box office personnel and provides necessary training and information to ensure that box office staff are well informed and properly trained in regard to policies and procedures.
• Staffs the box office to accommodate the promoter, walk-up sales, will call window, seating problems collection and patron inquiries.
• Ensures that the event audit reconciles with events outstanding as per the general ledger and all source documentation and the ticket inventory maintained outside of the computer ticket system.
• Provides the finance department with a certified event audit statement in a timely manner, to be used at time of settlement.

SUPPORTIVE FUNCTIONS:

In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the company.
• Special projects assigned by General Manager

SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY:

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
• Must have previous box office management experience
• Must be proficient with computers and the MS Office program (Word, Excel and Outlook)
• Must have computerized ticket system experience

QUALIFICATION STANDARDS:

Education:


Any combination of education and experience equivalent to graduation from high school or any other combination of education, training or experience that provides the required knowledge, skills and abilities. Bachelor’s degree preferred.

Experience:

• 5+ years of experience working in a box office supervisory position
• Ability to work under pressure, handle large sums of money utilizing prescribed cash management controls and day-to-day tasks concurrently
• Ability to work in fast-paced environment with promoters, the public and fellow staff members,
• Must be able to work both weekdays and weekends (day and evening) in addition to regular business hours as the event calendar requires
• Must have knowledge and experience with TicketMaster ticketing system and Archtics

Other:

• Due to the cyclical nature of the entertainment industry, employees may be required to work varying schedules to reflect the business needs of the company.
