Job Description:

The Resource Management Coordinator supports one or multiple Resource Managers and the overall Resource management team. This role is a vital function at the agency providing much needed Administrative support to keep the agency running efficiently and effectively.

Resource Coordinator Responsibilities

PTO Approvals for some team members and distribution of the PTO calendar to teams

Timesheet compliance; follow ups with timesheet offenders

Org Chart updates and tracking of FTE count

Tracking of new hires, departures, rotations on and off teams and transfers between groups

Utilization reports- responsible for pulling the initial reports (data) and some analysis

Freelance extension requests- keeping track of current freelancers and working with RM lead to prepare extension requests as necessary

Time transfers- following up on every time transfer request and processing them by the 15th of every month

New hire administrative duties- adding each new hire to the appropriate client assignment, group designation, assigning PTO approvers, etc

Helping to on-board new hires, welcome them to R/GA

Collecting necessary equipment from freelancers when they depart R/GA (ID cards, etc)

Seating Chart- helping to assign seats for new hires and coordinating with facilities on seat moves; updating seating chart when moves occur or an employee departs R/GA or rotates off a team

Allocations support- tasked with certain follow ups after allocations meeting

Scheduling meet and greets for internal employees exploring other teams

Idle time analysis- checking idle time report each week and consulting with RMs regarding any follow ups

Updating team distribution lists as needed

Ad Hoc projects and reports as identified by Melissa or Amanda

Gathering agendas for resource management meetings as needed

Requirements

Possess strong command of Microsoft Office

Must have excellent interpersonal skills

Superior written and verbal communication

Must work collaboratively to develop staffing solutions

Quick, creative problem solver

Works well under pressure, detail oriented

Self-motivated, organized

Knowledge of Digital Media Industry a plus

Visio and MS Project experience a plus

1-2 years of industry experience a plus
